Job Description:
|
Position is managing the Medcomp Tracking System for Employee Assistance Program. This software tracks all visits/encounters for all employees and associated family members who are part of the Partners HealthCare System. The software also tracks employees and the associated family members who fall under contractual agreement with EAP such as MEEI (Massachusetts Eye and Ear Infirmary, The Boston Center, etc.)
This role reports directly to the Quality Manager of the EAP and work in concert with HRIS for backup and support.. HRIS will continue to support the product in a backup capacity and works as a liaison with Network Administrators. HRIS ensures proper platform changes and migrations, space allocations on shared servers and web devices.

Duties and Responsibilities:

Medcomp responsibilities include:
Upgrade to SQL system – Working with Medcomp vendor to ensure most recent upgrades are applied to the system. Working with I.S. to ensure upgrade is applied. Keep HRIS informed of upgrades and changes so that backup support can be applied as needed. - Documentation of all upgrades to be available in the shared file area that is accessible to HRIS and staff for functional processes, reporting processes and technical processes.
Maintenance SQL system: Ensure that backup is maintained. Manage new, existing users on the system. Keep records of all system changes that are made. Maintain Error Reporting Logs for troubleshooting any system problems. Work with vendor and/or HRIS to resolve system issues including, log on, data capacity issues and sql (back end) and Access (front end) issues. –
Maintains user Log and Grants Access – Ensures as users leave the department access is removed from the system to maintain a very high level of security.
Table upgrades and customizations for reporting are required and will need to be maintained by the DBA.
Maintenance: Data Integrity – Run daily reports for any data gaps that may be present in the system. Follow up with staff for ensuring data is complete and timely so that monthly, quarterly and annual reports can be extracted from the system.
DBA is the sole contact for HRIS when troubleshooting errors or system problems. – Works closely with HRIS to ensure that full disclosure to updates is available.
Ability to run interface (as needed) from Peoplesoft to database for the purpose of updating employee information. Works with HRIS for additional enhancements (to create specs) for modifying system upgrades to sql back end
Documentation: Ensure that system documentation and manuals are synchronized with business process documentation as changes or upgrades occur.
Implementations: As new upgrades occur work with HRIS and IS to deliver to the desktop new versions of the software. Need to establish relationships with various areas of IS at different affiliates to ensure service of application is available at multiple locations. Some site visits may be required.
Training End Users: Utilizing Release Notes provided by the vendor DBA would ensure training for the staff. This may include but not limited to: one-on-one training, presentation training with PowerPoint Slide Tools, Interactive hand on classroom training and/or handout materials that can be delivered at staff meeting.
Reporting Requirements: Ensures data integrity so that reporting information is consistent and clean. - Works with staff to develop reports for management (weekly, monthly, quarterly, annually).
Able to produce reports with a variety of datatools (Access, SQL, Crystal, MS Excel and extract tools (winclient/peoplesoft). These tools will allow for data integrity checks, and compare and contrast utilization of system against full affiliate populations.
Medcomp Relationships
Works with Medcomp Vendor (and updates HRIS) to ensure upgrades, maintenance and support are given to the product.
Ability to work with vendor to troubleshoot system messages and/or errors that may surface and work effectively with the vendor to resolve issues.
